DOMAINS / BUSINESS EMAIL

Domain Name and Business Email: What to Set Up Before Your Website Launch

Your website and email are separate services that often share one domain. Owning both accounts matters more than choosing the fanciest hosting package.

Your website and email are separate services that often share one domain. Owning both accounts matters more than choosing the fanciest hosting package.

The domain is a business asset, not a design detail

Choose a clear, memorable name that matches how customers identify your business. Check for spelling mistakes, confusing hyphens and whether the name could cause conflicts with existing brands. A short domain is useful only when customers can type and recognize it correctly.

The registrar account—the account where you renew and control the domain—should be owned by the business or an authorized representative. Ask who can change the contact email, renew the registration, and transfer the domain later. Save the renewal date and enable appropriate account protection.

Understand the three separate services

**Domain registration** controls the name. **Website hosting** serves your site files or application. **Email hosting** handles mailboxes such as hello@yourbusiness.example. You may buy these from the same provider, but they do not need to be bundled.

Changing your website host should not automatically break email if DNS is managed carefully. Before changing anything, list your current website records, MX records and related email settings. An incorrect DNS update can make a new homepage load while messages stop arriving.

Choose a useful professional email address

A public email should be easy to say and spell. An address such as hello@ or contact@ can be appropriate when there is a clear owner responsible for responding. A personal-name mailbox may suit a solo professional, but consider what happens when another team member takes over inquiries.

Decide whether multiple published addresses are separate mailboxes, forwarding aliases or shared inboxes. Test replies from both desktop and mobile. An impressive address means little if the mailbox is not regularly monitored.

Protect mail deliverability and ownership

Ask your provider about SPF, DKIM and DMARC settings, which help receiving systems evaluate who can send mail for your domain. Configure them based on actual senders; blindly copying records from another company can block legitimate messages.

Start with the provider's documentation and the official Google Workspace guidance on authenticating email if applicable. These technical settings reduce risks but do not guarantee delivery. Check spam folders and send test messages to more than one external mailbox.

Launch checklist: prevent lost customer inquiries

Before publication, confirm the domain resolves to the intended site, HTTPS works, redirects are intentional and contact forms send to an active mailbox. Send one inquiry using a different email address and verify it arrives with correct sender details.

Record domain registrar, hosting, email provider, DNS manager, billing responsibility and secure account recovery details. Do not paste passwords into an ordinary public handover document. Use our website handover checklist to review the other items your developer should deliver.

When to seek technical help

Get expert support before moving nameservers, switching email platforms, changing DNS for an existing business or cutting over a site with active inquiries. Request a rollback plan and a test schedule outside critical business hours where practical.

Your goal is a dependable address customers can trust and a site you actually control—not a stack of recurring subscriptions you do not understand.

A working website with broken email

During a DNS update, the new homepage appears while the old MX and email authentication records are lost. Customers cannot reach the business. Website hosting and email routing need separate ownership and tests.

Practical check: Inventory all records and send real external messages after cutover.
